Who it is for
Hostbase is built for independent and boutique short-term rental operators running 1 to 30 properties. It is not built for single-listing hobbyist hosts, and it is not built for 500-unit enterprise portfolios. The product, pricing, and support model are sized for operators who run a real portfolio and still do the work themselves or with a small team.
An agentic PMS, not a copilot
Every property management system now ships an AI copilot. It reads the dashboard back to you, drafts a paragraph, and then tells you which page to go to. Hostbase is built the other way round. The agent is not bolted onto the PMS, it operates the PMS. It reads the live book, works out what a change would actually do, and puts a completed, executable action in front of you with a button on it. You press the button. The room moves, the guest gets the reply, the OTA stops selling the night.
The distinction that matters is not how well it writes. It is whether anything happens when it finishes writing.
Propose, approve, execute
The agent has 24 tools and not one of them writes to your database on its own. Fourteen read the live property and resolve the request against the real calendar, finding the double booking, the blocked night, and the guest who would be displaced. Ten raise an approval card carrying every field, the old money and the new money, every guest affected, and every warning. You press Apply, and the write is re-validated against the live calendar at that instant, so a plan that went stale while the card was on screen is refused rather than applied.
The agent runs on your permissions, not ours
Writes execute on the operator's own credentials, never a vendor service key. If a front desk user cannot issue refunds in Hostbase, the agent cannot issue one for them. Row-level security decides, exactly as it does on every page, and no privilege is created by the conversation. Every tool is scoped to the property in front of you, and every organisation is isolated in the database, verified by an automated cross-tenant isolation harness that must report zero leakage before any new customer is onboarded.
What you can hand to it
Revenue analysis for any date range, cut by channel, room type, unit, month, guest country, stay length, or payment method. The live book: arrivals, departures, availability, and room type inventory. Channel-accurate quotes, including the direct rate, the channel price with the OTA markup, refundable and non-refundable variants, and the live availability for that exact stay. Manual pricing overrides and the lead-time discounting curve. Guest messages across every connected OTA inbox. Public review replies. Room moves that automatically rehouse anyone the plan displaces. And the front desk itself: taking, amending, cancelling and refunding bookings, and blocking rooms off sale.
Guest replies are always drafted in English. You read, edit, and approve that English text, and the translation happens on send against exactly what you approved, not against a first draft nobody agreed to. An agent that drafts in German and asks an Egyptian front desk to approve it has not built an approval gate, it has built a rubber stamp.
Guardrails enforced in code
Boundaries are enforced before anything is planned, not in a prompt the model can talk itself past. Dates and price on a Booking.com or Airbnb booking are set on the OTA, so the agent refuses and names the extranet rather than letting your books silently disagree with theirs. Channel ownership is decided by a whitelist, so a new integration's bookings are protected by default rather than quietly editable. Cancelling an OTA booking cancels in Hostbase only, and the agent says so on the card, in the result, and again afterwards. A block that would close a sold night is refused. The agent never claims it acted: until you approve, nothing has happened, and it says so. Every refusal names what to do instead, because an operator told only no goes and does it by hand anyway, in exactly the place the refusal was trying to protect.
Where it lives
A full workspace with saved chats organised into folders. A command bar on every page, so you can ask without leaving what you are doing and jump straight to the reservation, thread, or room the answer is about. A mobile sheet built for one thumb, with dictation, because the person who needs to move a guest is standing in the lobby rather than sitting at a desk. And inside the inbox, to translate a message or draft a reply from the message itself.
How Hostbase differs
Per-property pricing, not per-listing
Hostbase starts at $99 per property per month, billed per property rather than per listing. Pro and Enterprise tiers are available for larger portfolios. A property with twelve units and five room types costs the same as a property with one unit. The billing unit is the property, not the listing count.
White-label by default
Every screen carries the operator's logo, colors, and subdomain. Guests and owners see the operator's brand, not Hostbase. Custom domains are available on Enterprise.
MCP access
Operators can query the full operation in plain English through Claude or ChatGPT via the Model Context Protocol. Reservations, rates, availability, and messaging are reachable from the same tools the operator already uses. This is query access for analysis. Operations are proposed, approved, and executed inside Hostbase, where the approval card and the permission check live.
AI calendar match
When a booking would clash with an existing reservation of the same room type, Hostbase reshuffles guests across matching units automatically. The operator does not have to resolve the conflict by hand.
Built by an operating host
ICONIA Zamalek in Cairo is a live property running on Hostbase through SuiteSpot Properties. The platform is shaped by that operation, not by a demo tenant.

Origin
Hostbase started as the internal operating system for ICONIA Zamalek, a short-term rental property in Zamalek, Cairo, run by SuiteSpot Properties. The tools built to price rooms, sync channels, and manage guests at ICONIA became the product. ICONIA remains the first property on the platform.
